Cash Reconciliation & Audit Sentinel

Fuel sales reconciliation without the spreadsheet headache

Track pump readings. Reconcile cash and POS. Account for expenses. Detect shortages automatically.

CRA Sentinel is in free beta. Beta users can create an account and use the production application at no charge while we refine it with real station feedback. There is nothing to buy yet and no card is required.

The state is said in a word as well as a colour, everywhere it appears. A forecourt is read in sunlight, on a cracked phone, by people who may not distinguish red from green.

The arithmetic

Every figure is a sum you can check by hand

There is no model here and nothing to tune. Two subtractions, a multiplication and a comparison, done in exact decimal arithmetic on the server — so the number on the screen is the number in the database.

Litres sold
closing meter − opening meter

Per nozzle, per shift. A closing reading below the opening one is refused outright: a totaliser only counts up.

Expected sales
litres sold × price at the time of sale

The price is copied onto the reading when it is entered, so changing a pump price tomorrow cannot restate yesterday's takings.

Accounted
cash + POS + transfers + credit + vouchers + mobile money + expenses paid from sales + approved adjustments

An expense the company paid separately is deliberately not in that list. The money never came out of the takings, so adding it would manufacture a surplus that does not exist.

Difference
accounted − expected

Zero is balanced. Below zero is a shortage. Above zero is a surplus, which is worth chasing too — it usually means a payment was recorded twice or a meter reading is wrong.

What it does

Five things a spreadsheet cannot do for you

Know exactly what every litre should earn

Expected sales come straight from the pump meters, priced at the price that applied when the fuel was sold. Never from an attendant with a calculator.

Catch shortages before they become losses

Every shift is measured against the cash, the card terminal, the transfers and the expenses paid out of the day's takings. The exact difference is on the dashboard before anybody goes home.

Never lose track of meter discrepancies

Each day's opening reading is checked against the previous closing one, nozzle by nozzle — and accepting a discrepancy does not make it disappear.

Manage every station from one dashboard

Sales, expenses, shortages and reconciliations across every station you run, with each one's own figures a click away.

Account for what went out, too

Generator fuel, repairs, transport. Recorded with a category, a receipt and whether it came out of the takings or out of the company.

Built-in audit trail

Who changed what, and when. Append-only and hash-chained, so an entry cannot be edited or removed without breaking every hash after it.

Meter continuity

Today's opening reading should be yesterday's closing one

It is the simplest check on a forecourt and the one a paper book never does, because nobody flips back to compare.

Yesterday's closing
25,430.500 L
Today's opening, as entered
25,435.500 L
Meter discrepancy: this opening reading is 5.000 litres higher than the previous closing reading.
  • Both readings are kept, with who entered them and when.
  • The shift cannot be finalized until somebody explains it — or, if you choose, until a manager approves it.
  • A manager accepting it records that decision. It never removes the discrepancy from the history.
  • A meter that was genuinely replaced has its own recorded workflow, with a reason and a new baseline.

Honest limits

What this does not claim

CRA Sentinel reports the difference it measures and records who entered every figure. A difference is not by itself evidence of theft, and what it means remains a judgement for the owner.

Stated plainly, because it matters

  • It does not eliminate fraud. It measures a difference and records who entered what; a person still decides what the difference means.
  • A difference is not by itself evidence of theft. Evaporation, calibration drift and honest mistakes all show up the same way.
  • It does not read your pumps. Meters are entered by a person, which is exactly why the continuity check exists.
  • It is not an accounting package and does not file anything with a tax authority.

Plans

Priced by station, not by pump

A plan covers stations. Pumps, nozzles, fuels, shifts, readings, expenses and reports are never counted against anything.
